Appointments & Reminders

Why are the WhatsApp and Follow up buttons greyed out on my calendar?

Last updated: 2026-06-13

The WhatsApp and Follow up quick-actions on the calendar are disabled until you turn on a clinic-wide consent toggle. Go to Settings → Notifications, find the “Bulk patient marketing consent” card, and switch on “All patients consented to WhatsApp marketing”. The buttons become active immediately. This toggle is an attestation that you collect marketing consent from patients (for example on your registration form), so only enable it if that’s true for your clinic.

Why they’re gated

The WhatsApp and Follow up quick-actions send proactive messages to patients — thank-yous, no-show recovery, treatment-dropped nudges, review requests. Those are marketing-style messages, so they’re held behind an explicit consent switch rather than being on by default. When the switch is off, the buttons stay visible but greyed, and clicking one shows a short reminder to turn the setting on.

Turning the quick-actions on

  1. Open Settings → Notifications.
  2. Find the “Bulk patient marketing consent” card.
  3. Switch on “All patients consented to WhatsApp marketing”.
  4. Return to the calendar — the WhatsApp and Follow up buttons are now active.

What the toggle actually does

  • It applies to every patient who hasn’t set their own preference on their profile.
  • Patients who have explicitly opted in or out on their own profile are unaffected — their individual choice always wins.
  • Separate SMS and Email toggles on the same card control those channels independently.
