How do I record my first clinical note?

Open the patient record, tap New Clinical Note, choose EpikVoice, speak naturally through the consultation, then review the auto-structured fields and tap Save. The note lands on the patient timeline immediately. The whole flow takes under a minute the first time you try it.

Before you start

You only need three things: a signed-in EpikDoc Pro account, a patient added to your clinic, and a working microphone on the device you are using. Chrome, Edge, Safari and Firefox on desktop and the EpikDoc Pro mobile app all work.

Step 1 — Open the patient

  1. From the sidebar, click Patients.
  2. Search by name or phone in the search box at the top.
  3. Click the patient to open their Smart Timeline.

Step 2 — Start a new clinical note

On the patient timeline, click the + New Clinical Note button at the top right. You will see three options:

  • EpikVoice (live) — record now, transcribe live.
  • Upload audio — pick a recording from your device.
  • Type manually — fill the 10 fields yourself.

Choose EpikVoice. The recorder opens with a large red record button.

Step 3 — Record the visit

  1. Tap the red record button. A timer starts and a red Recording banner appears.
  2. Dictate naturally — chief complaint, what you saw on exam, what you will do, what it costs.
  3. Tap Stop when you are done. You can re-record if you need to start over.

Step 4 — Review the structured fields

A blue banner appears while the note is being formed. This usually takes 30–60 seconds; longer recordings may take a couple of minutes.

When it is ready, the 10 structured fields populate automatically: chief complaint, history of present illness, medical history, observation, investigation, diagnosis, treatment plan, treatment, cost, and notes. You will also see procedure tags (root canal, filling, extraction, etc.) detected from what you said.

Skim each field. Click into any field to edit, add, or correct.

Step 5 — Use AI Insights to prefill the next action

Beside the note, an AI Insights card suggests up to four follow-up actions based on what you dictated:

  • Add prescription — opens the prescription form with drugs and dosages pre-filled.
  • Schedule follow-up — opens the appointment modal with date and reason pre-filled.
  • Generate treatment plan — builds a multi-visit plan with the procedures and costs you mentioned.
  • Review X-ray — prompts you to attach or analyse imaging if you referenced it.

Each suggestion requires confirmation — nothing is created or sent to the patient until you click the action button.

Step 6 — Save to the timeline

Once you are happy with the note, click Save Note. It appears on the patient timeline straight away and becomes searchable from the home dashboard.

  • Issue a prescription from the AI Insights card.
  • Book the follow-up appointment in one tap from the same card.
  • Record the next patient — your first note becomes the template you trust.
